Job Summary
As a Executive Assistant, you proactive, highly organized, and trustworthy. You will be supporting our Founder in both business operations and project management. This is a remote, part-time role for someone who thrives in a fast-paced environment, loves bringing order to chaos, and is comfortable working independently while keeping things moving behind the scenes.
Key Responsibilities
Business Operations & Executive Support
Manage and optimize calendars, schedule meetings, and handle time zone coordination
Monitor and triage email inboxes, flagging priority items and drafting responses
Prepare meeting agendas and background materials, and send post-meeting follow-ups
Track project timelines and deliverables using task/project management tools
Marketing Agency Admin
Support client onboarding: sending contracts, scheduling kick-off calls, organizing folders
Assist with client reports, slide decks, and proposal formatting
Coordinate with freelancers and manage internal content calendars
Upload and schedule blog posts, newsletters, or social media content
Conduct research on vendors, tools, and industry trends as needed
Tools You Use
Google Workspace (Docs, Sheets, Calendar)
Slack, Meet, Calendly
Notion, Asana, Trello, or ClickUp
Canva or Google Slides
Social media schedulers (Later, Meta Business Suite)
Requirements
3+ years experience as an Executive Assistant, Virtual Assistant, or in an operations/admin role
Outstanding communication skills (written and verbal)
High attention to detail, proactive problem-solver, and able to manage multiple moving pieces
Comfortable handling confidential information
Familiarity with marketing or creative industries a big plus
Available during some Eastern Time working hours
Bonus Points
Experience supporting a founder or entrepreneur
Knowledge of client-facing tools or CRMs
Interest in marketing, branding, or communications
